Payroll Procedures for Teaching Fellows and Teaching Assistants

Upon the confirmation of your teaching appointment, you must submit the following work authorization and tax information (Click on link to download; you will need Adobe Acrobat Reader to view and print forms. Hard copies of forms are also available in the NELC office, 6 Divinity Ave., rm 106):

I-9
•A photocopy of two forms of identification as specified by the I-9 form
FNIF form with photocopies of supporting documentation (for foreign nationals)
W-4
M-4
Direct deposit - if you wish to have your check directly deposited into your bank account (This link includes information on how to set up Direct Deposit online, as well as a paper form)
ï A curriculum vitae is required for all Teaching Assistants (those not enrolled in a GSAS graduate program).

Direct deposit and tax information may now be submitted directly in PeopleSoft via Employee Self Service. (See directions below). We highly encourage you to submit this information online. Please note that certain Harvard employees will not be able to use the online Employee Self Service to update their W-4 information (for example, employees with non-resident alien status, or who have claimed exempt status).

Please submit I-9 (if necessary) and any hard copies of forms (if not completed online) to Ann Cooper (Student Coordinator) in the NELC office. Please feel free to contact Ms. Cooper with any questions or concerns regarding teaching fellow procedures.

Instructions for Online Submission of Direct Deposit and tax information through PeopleSoft (Harvie)
The Harvie web site is located at http://harvie.harvard.edu/ and can only be accessed by entering an employee HUID number and a personal Harvard PIN. Click on PeopleSoft Access >>and again enter the HUID and PIN.

For W-4 and M-4: Click on Self Service > Employee > Tasks > W-4 Tax Information
For Direct Deposit: Click on Self Service > Employee > Tasks > Direct Deposit
