Date Request Form

Scheduling of Sanders Theatre begins each fall for the following season (e.g. we begin scheduling the July 2013- June 2014 season in the fall of 2012). Scheduling priority is given to Harvard student performing groups and departments. Once these historical dates have been set, the calendar is opened for non-Harvard affiliated organizations. Inquiries may be addressed to the Program Manager via email. All requests must be submitted in writing. You may use the form below, or submit a letter of request which includes the same information.

Some requests must be reviewed for scope and technical parameters by the production manager. Please note that Sanders Theatre has no fly space or wing space. The space is rented as is (extensions or alterations to the stage are not possible). There are risers permanantly built in to the stage. (A stage diagram is available here.)

The Program Manager will respond regarding date availability in writing. A date may be held for 30 days or until another request is received. A "held" date must go to contract within two business days.Until our office receives a deposit, the date is not confirmed.

Sanders Theatre's general admission capacity is 1000.

TIME

A rental period includes load in, set up, performance, breakdown and load out. Sanders Theatre is a classroom during the weekday, and used for student activity many afternoons and evenings. Please answer the following questions so that we may determine the time frame and needs of the event.

Standard rentals blocks are up to nine hours. Harvard affiliated rental blocks are up to five hours. Additional hours, if available, will be charged at the hourly rate. Note that rental periods are access periods. A rehearsal must allow minimum 30 minutes for participant arrival and the same for departure. All events require about two hours access prior to the event start, depending on the scope of the event. In most cases, doors open to audience members 30 minutes prior to start time. [Note that nine hour rental periods may be split, if availability allows, between an event and a rehearsal. Again, consider access periods and adequate arrival/departure time.]
