Policies

A. Fees Policies - Who Is Charged?

1. No Charge

The services and equipment offered by IMS are available without charge to support regularly-scheduled, daytime, exclusively Faculty of Arts and Sciences courses and course-related activities that restricted to members of only one course.

2. Harvard-Funded Departments' Rate

IMS charges fees for equipment and services at the "Funded" rate for Harvard University departments' special course meetings, course-related activities open to members of multiple courses, courses offered jointly through FAS and other Harvard schools and for all work on nights, weekends, and holidays. Also, fees are charged at the "Funded" rate for all Harvard departments' non-academic functions, academic symposia and conferences, and any FAS events that charge attendees. Finally, fees are charged at the "Funded" rate to all Harvard and Radcliffe departments needing on-site technical assistance.

IMS will provide assistance for Harvard departments' events on a time-available basis, with classroom support having first priority. A Harvard ID will be required to prove affiliation with Harvard.

3. Not Funded Rate

IMS charges fees for equipment and services at the "Not Funded" for those who request equipment or services or equipment and are not faculty, staff or students of Harvard or do not have a Harvard ID.

B. Billing Policies - How to Pay Fees

1. FAS Harvard-Funded Departments and Affiliates:

FAS Departments should provide the appropriate 33-digit costing code for their budgets and will be billed after the work has been completed. Tentative cost estimates for billable jobs can be provided in advance of service, but there is no advance billing available.

2. Individuals and Non-Harvard-Funded organizations:

Individuals must pay with cash or check in USA dollars at the time of service. Organizations with charges of $50.00 or less must pay with cash or check in USA dollars at the time of the service. Organizations with charges over $50.00 must have a USA address and may either pay with cash or check in USA dollars at the time of service or ask to be billed later. Tentative cost estimates for billable jobs can be provided in advance of service for individuals or for organizations, but payment in advance for services will not be accepted. Individuals or organizations must present a USA address in order to be served.

3. FAS official student groups:

FAS official student groups (those listed with Harvard College's Student Life) requesting just equipment must pay with cash or check in advance or at the time of equipment pick-up and may not be billed. Student groups requesting both equipment and technician assistance may request to be billed but must pay within 48 hours of the completion of the service and then will receive a 50% discount on the equipment charges only (labor charges cannot be discounted). Student groups failing to pay fees on-time will forfeit the discount on equipment charges and may be refused service in the future.

FAS official student groups also have access to a limited amount of free audio reinforcement and video projection equipment. Contact the main office at mtsequip@fas.harvard.edu for information on how to book this equipment. This equipment often books far in advance.

C. MPC Copyright Protection Policies

The Media Production Center is unable to make duplicates of copyrighted audio, video or multimedia materials without explicit written permission from the copyright owner.

We can excerpt materials in accordance with Copyright guidelines. The MPC can help extract and compile these excerpts.

If you need an NTSC viewing copy of PAL video materials protected by copyright, we can produce one viewing copy per original if we retain the original media. This original will be released upon return of the viewing copy. Please note that many FAS classrooms are equipped with multi-standard playback equipment for both DVDs and VHS materials.
