Q. HOW DO I GET AN ID NUMBER AND ID CARD?

A. In order to obtain a Harvard ID card or obtain telephone, email, computer and access to other employee essentials, you need an employee identification number. This is assigned once you have started working at the University and after all your new hire paper work has been successfully processed by FAS Human Resources and the payroll department.

To obtain your Harvard ID Card, call Identification and Data Services (5-3322) to learn whether you have been assigned an ID number. If yes, then you can go to their office anytime between 9:00am and 4:45pm (Holyoke Center, 340) to pick up your card. You will need to bring photo identification with you.

Q. HOW DO I GET A HARVARD PIN?

A. A Harvard Personal Identification Number (PIN) is intended to serve as a secure means of authenticating your identity to gain online access to University records. You can obtain a PIN at http://www.pin1.harvard.edu.

Q. HOW DO I GET MY TELEPHONE AND VOICE MAIL SET-UP?

A. This may require getting a phone, changing an existing Harvard phone number to your name, setting up voice mail and listing you in the online directory. Your manager can direct you to your department's telephone contact that has been designated to work directly with the University Information Systems (UIS) Telecommunications Group. Instructions for telephone features are located on page 6-1 through 6-5 towards the back of your printed telephone directory.

  • Directory: there are hard-copy and online directories.
    Provide the correct spelling of your name, your Harvard I.D. number and your telephone extension number to your department administrator to be added to the on-line directory. Once entered by the administrator, your contact information will appear in the next published annual telephone directory and will be immediately available at on-line directory (accessed through your Eudora email software – click on Directory Services) and from University telephone operators.

  • Voice Mail set-up: see page 6-6 in your printed telephone directory for set-up and instructions on how to acquire access to voice mail.

Q. HOW DO I GET MY COMPUTER SET-UP?

A. If your department has an IT support person, you should coordinate meeting all your computer needs, directly with that person. Your department administrator will make arrangements for you to have network and database access, as appropriate, with FAS Computer Services (HASCS).

  • Email: You can set-up your email account directly on-line at: http://www.fas.harvard.edu/computing/. Click on “select a utility”, then choose “create an account”. If you have any problems, call the computer services help desk (6-2727). You can also set a vacation message by clicking on “select a utility”, as well as perform other similar functions. For information on using Eudora, click on “Help” then choose “Technical Support”, where you will find an online tutorial.

  • Calendar Scheduling: Meetingmaker is the standard calendar scheduling program at Harvard. You can call the help desk (6-2727) to obtain access and a password. Meetingmaker instructions can be found in Meetingmaker by clicking on “Help”. If needed, training is provided by appointment. Call the help desk for assistance.

  • Getting Computer Help: Call FAS Computer Services help desk (6-2727). If they are not the right resource, they can direct you to the correct office. For information on purchasing software licenses, hardware or other general computer services, you can visit http://www.fas.harvard.edu/computing/help/ to learn about the other computer resources available to Harvard employees.

  • Personal Computer Training: FAS Computer Services provides 1:1 and group training for FAS staff. You can visit their website at http://www.fas.harvard.edu/computing/help/training.html to learn about current and upcoming training. There is no fee associated with these classes.

    Other computer training is provided by the Center for Training and Development. You can learn about their computer training classes at: http://www.harvie.harvard.edu. Your department is charged a fee for your attendance at these trainings, so you should speak with your supervisors prior to registering.


Q. HOW DO I GET AROUND?

A. Getting around Harvard:

  • T-Pass MBTA Pass Program: 40% discount on the cost of the monthly MBTA or Commuter Rail pass. You must sign up in advance.. Passes are sold on the last three work days of the month in Cambridge at the Holyoke Center Information Center. Call Accounts Payable (5-8500) or visit their office (Holyoke Center, room 370) to sign-up. You must provide your Harvard ID number to sign-up.

  • Shuttle Bus: Shuttle bus information and schedules can be found at http://www.uos.harvard.edu/transportation/shu.shtml

  • Commuter Choice: Alternatives to driving A program of Cambridge Transportation Services, Commuter Choice provides information on alternative transportation options to assist faculty and staff who commute to Harvard by car. These programs are designed as an incentive for employees to use modes of transportation other than driving alone in a car and include a list of those interested in carpooling.   • Parking Services: Parking Services sells annual parking permits (September through August) for the Cambridge and Allston campuses. Parking is limited, so there may be a waiting list. New parking applications can be processed at http://www.uos.harvard.edu/transportation/par.shtml or call (6-1792) for recorded information.

  • Campus Tour: It is a great way to learn some of the Harvard history and get acclimated to the campus. The tours leave the Harvard Information Center in Holyoke Center, 1350 Massachusetts Ave. You don’t need to schedule an appointment.
